Account Reconciliation Agent in Microsoft Dynamics 365 Finance: Automate Account Reconciliation

Ruben Heinrich , Iris Degen, Volker Eberle

In many finance departments, account reconciliation is synonymous with manual bookkeeping. Comparing the general ledger and subsidiary ledgers, searching for discrepancies, documenting differences, and proposing corrections. It’s the same routine month after month, usually right before the close and, of course, under time pressure. Not because there isn’t a better solution, but because that’s how it’s always been done.

The result: Closing the period becomes a test of patience, errors creep in, and the team can’t focus on the tasks that really matter.

What is an Account Reconciliation Agent?

Microsoft Dynamics 365 Finance includes an agent for this process: The Account Reconciliation Agent is an AI-powered assistant that automates account reconciliation between the general ledger and subsidiary ledgers. It identifies discrepancies, analyzes their causes, and suggests appropriate corrections, while the final decision remains with the user.

How the Account Reconciliation Agent Automates Account Reconciliation in Dynamics 365 Finance

In practice, the Account Reconciliation Agent handles key account reconciliation tasks and automates the process step by step.

How does the Account Reconciliation Agent work?

The agent automatically compares the transactions from the subsidiary ledgers with the entries in the general ledger, covering all key reconciliation areas: bank, accounts payable, accounts receivable, and taxes. All exceptions, suggestions, and already reconciled transactions are clearly grouped together in the dedicated Account Reconciliation Workspace. It transparently displays all exceptions, automatically reconciled transactions, and suggested actions. This makes all actions traceable and allows them to be corrected just like other financial entries.

Unlike traditional reconciliation, which until now usually took place only at the end of the period, the agent works continuously in the background. Discrepancies are detected as soon as they arise, not just when the closing is due.

Specifically, it checks the following:

  • Entries that appear in the subsidiary ledger but not in the general ledger
  • Entries that appear in the general ledger but not in the subsidiary ledger
  • Amount discrepancies between the general ledger and the subsidiary ledger
  • Unreconciled transactions

A typical real-world example: A payment is recorded in the subsidiary ledger but is not correctly reflected in the general ledger—perhaps due to a faulty interface or an incomplete posting run. The agent immediately detects this discrepancy, flags it in the workspace, and suggests the appropriate correction before it is noticed during the closing process.

Concrete, real-life examples from everyday life

Example 1: Payment Recorded in the Subsidiary Ledger but Not in the General Ledger
A payment is correctly recorded in the accounts receivable or bank subsidiary ledger via bank import. However, the subsequent posting run to the general ledger fails—for example, due to a batch error, a missing account assignment, or a temporary interface malfunction.

Result: The payment is visible in the subsidiary ledger, but the corresponding entry is missing from the general ledger.

The Account Reconciliation Agent immediately detects this discrepancy, flags it as an exception, and suggests the correct general ledger entry—long before the discrepancy is noticed during the monthly closing.

Example 2: Partial Payment with a Payment Difference in Accounts Receivable
A customer pays only part of an invoice or deducts a cash discount. While a payment is posted in the subsidiary ledger, a small remaining balance remains in the general ledger that would need to be resolved manually.

The agent recognizes that similar cases recur, correctly assigns the difference, and suggests automatically settling or writing off the remaining amount. The clerk reviews the suggestion and approves it.

Example 3: Vendor Invoice Without Correct General Ledger Entry
A vendor invoice exists in the vendor subsidiary ledger, but the corresponding general ledger entry could not be generated due to an incomplete posting profile. Such cases often go undetected in day-to-day operations and only come to light during reconciliation.

The agent identifies the missing entry, points out the underlying cause, and suggests a correction. This completely eliminates the need for time-consuming troubleshooting.

Example 4: General Ledger Entry Without a Subsidiary Ledger Reference
During the monthly closing, accruals or provisions are posted directly to the general ledger—deliberately without a subsidiary ledger reference. These entries often result in differences from subsidiary ledger balances.

The Account Reconciliation Agent identifies such entries, correctly classifies them as explainable variances, and prevents them from being mistakenly treated as errors.

What the agent recognizes and what it suggests

The agent doesn't stop at the analysis. For every discrepancy it detects, it immediately suggests a solution, such as: “These two entries offset each other—should they be reconciled?” or “This amount is missing from the general ledger—should I suggest the journal entry?” Your employees review the suggestions and approve them. The actual reconciliation work is eliminated.

Changes in Everyday Work Life

The difference isn't just evident in the monthly closing—it's already apparent during day-to-day operations. Discrepancies that used to often only become apparent at the end of the period are now continuously identified by the agent.

For finance teams, this means, specifically:

  • fewer manual reconciliations under time pressure,
  • fewer last-minute corrections just before closing, and
  • more capacity for analysis, controlling, and liquidity planning.

This makes the closing process not only faster but also easier to plan.

The Current State of the Account Reconciliation Agent

Important to know: The Account Reconciliation Agent is in production-ready preview and is available starting with version 10.0.44. To enable it, three features must be activated in Feature Management: Immersive Home, Agent Management, and the Account Reconciliation Agent itself. Additionally, two Copilot packages are required via the Power Platform Admin Center. The setup process is straightforward and largely configuration-driven. Microsoft provides clear documentation for this.

The Account Reconciliation Agent is part of a broader trend in which Microsoft is increasingly integrating AI into core finance and supply chain processes. We highlight which additional features are planned as part of the current releases in our article on Release Wave 1/2026 in Dynamics 365 Supply Chain Management.

Account Reconciliation Agent vs. Bank Automation Suite by Inway Systems

In the finance sector, the Account Reconciliation Agent in Microsoft Dynamics 365 Finance is not the first automation solution. Especially in the context of banking processes—and particularly when compared to existing solutions such as the Bank Automation Suite—users are right to ask how these solutions relate to one another.

After all, both approaches pursue the same overarching goal: to reduce manual reconciliation work and improve the quality of financial processes. However, they address different stages of the overall process and thus complement each other functionally.

The Account Reconciliation Agent operates downstream on existing journal entries. It analyzes the reconciliation between the general ledger and subsidiary ledgers, identifies discrepancies, explains their causes, and supports users with specific correction suggestions. The focus is on transparency, traceability, and significantly simplified account reconciliation—especially during day-to-day operations and at the end of the accounting period.

The Bank Automation Suite, on the other hand, intervenes earlier in the process. It automates bank and open-item reconciliation as early as the import and processing of bank statements and payment notices. The goal is to correctly identify bank transactions from the outset, assign them to open items, and automatically generate postable entry journals. Ideally, this means the bank is already reconciled before a traditional account reconciliation even takes place.

At a Glance: A Comparison of the Bank Automation Suite and the Account Reconciliation Agent

In comparison Bank Automation Suite Account Reconciliation Agent
Phase of the process Upstream Downstream
Focus Automated Bank and Open Item Reconciliation Analysis and Resolution of Discrepancies
Approach Rule-Based Automation AI-powered agent
Typical Application Importing, Assigning, and Posting Bank Data Reconciliation of the General Ledger and Subsidiary Ledgers
Everyday Benefits Less need for reconciliation thanks to accurate journal entries Faster, traceable account reconciliation

In practice, the greatest benefits are realized when both approaches are used in combination. The Bank Automation Suite reduces sources of operational errors in day-to-day business by ensuring that bank transactions and payment notices are processed and posted correctly as soon as they are imported. At the same time, the Account Reconciliation Agent continuously monitors the reconciliation between the general ledger and subsidiary ledgers, ensuring that any remaining discrepancies are identified early and resolved in a structured manner.

This transforms account reconciliation into a consistently controlled process—from daily payment receipts to the monthly closing.

Conclusion: Less manual labor, more control

Your accounting won’t necessarily become more efficient just by putting in more hours. It’s more about redistributing tasks so that the right ones are handled by people. The rest is automated with the help of AI. That’s what the Account Reconciliation Agent in Microsoft Dynamics 365 Finance makes possible.

And the best part is: The question here isn’t whether you can use AI in your Microsoft ERP. The agent is already part of your system. It’s just a matter of where to start.
