The Business Central Connector for Shareflex is an add-on for the ERP system Microsoft Dynamics 365 Business Central. 

With the Dynamics 365 Connector for Shareflex, this interface is also available for the ERP systems Microsoft Dynamics AX, Microsoft Dynamics 365 for Finance and Operations as well as for Microsoft Dynamics 365 Finance and Microsoft Dynamics 365 Supply Chain Management.

Can SharePoint be expanded into a fully-fledged DMS?

SharePoint from Microsoft enjoys great popularity as a cloud-based platform for digital teamwork in companies. Teams use SharePoint to edit, comment on, adapt and further develop files and documents together. It is used to manage projects and coordinate tasks. All company documents such as invoices, receipts and contracts can also be stored there.

The idea of expanding Microsoft SharePoint into a fully-fledged document management system (DMS) is therefore an obvious one.

 

However, using SharePoint purely as a file system does not meet the requirements for legally compliant storage. The documents stored there are neither audit-proof nor do they fulfill the central principles of good and sustainable archiving.

The solution

This is where our partner Portal Systems significantly extends the functionality of SharePoint with "Shareflex" and thus provides a suitable solution. Shareflex is an add-on for SharePoint that transforms the Microsoft platform into a comprehensive solution for business applications, including a fully-fledged document management system (DMS).

A key element of this Enterprise Content Management (ECM) solution is the ability to archive incoming and outgoing documents in SharePoint in a legally compliant manner. This includes a structured organization of documents, indexing, authorization management, deadline management and the integration of all relevant meta information.

 

With the upgrade of Microsoft SharePoint by Shareflex to a complete DMS, the Business Central Connector for Shareflex now facilitates the automation of all document management processes. This includes, in particular, automatic archiving and comprehensive automatic indexing of all incoming and outgoing documents.

The interaction of "SharePoint / Shareflex - Connector - Business Central ERP" offers another significant benefit in addition to the advantages already mentioned: the ability to remain completely within the Microsoft ecosystem.

ERP systems are generally not document management systems and, conversely, document management systems, even with advanced functions such as ECM, cannot replace ERP systems. 3. Why should you link your Dynamics ERP system with the SharePoint / Shareflex DMS?

No long searches, all data is stored centrally in one place, the archive is audit-proof, legally compliant and space-saving, every employee knows where the documents are and everyone can also access all relevant documents from their home office: These are the advantages that a document management system offers you in general.

Added to this are the advantages of the link between DMS and ERP: filing, archiving and indexing are automated - and therefore error-free. Automation saves time, effort and money and leads to uniform keywording. Manual errors are also significantly minimized.

4. Do employees have to work parallel with the ERP system and Sharepoint / Shareflex-DMS?

No. You can access all documents directly via your ERP client.  Without opening your SharePoint / Shareflex DMS, you can browse through the archive in the ERP. Documents are always linked to the DMS.

5. Can documents that were not created in the ERP be viewed via the ERP client?

Yes, all documents can be displayed directly in the Dynamics ERP client. Even external documents such as incoming invoices - or operating instructions, quality certificates or design drawings.

6. I already have a Dynamics partner. Do I now have to commission an additional Dynamics partner with Inway?

No. You are welcome to inform your current Microsoft Dynamics partner that you have found a good solution with Shareflex and the corresponding DMS connector and they can get in touch with us.

7. What is the difference between the Business Central Connector for SharePoint and the Business Central Connector for Shareflex?

The Business Central Connector for Shareflex is based on the Business Central Connector for SharePoint. In addition to the SharePoint connection, you can use it to integrate the views and processes developed by Shareflex into your SharePoint.

Shareflex is therefore an add-on for SharePoint and transforms it into a platform for integrated business applications (ECM), including a fully-fledged, audit-proof DMS with preconfigured filing structures.

If, on the other hand, you only use the Business Central Connector for SharePoint without extensions, you still have to configure filing structures and workflows yourself, for example. With Shareflex, you get everything out of the box.
